My Japanese Visa Application Experience in KL

Hello everyone! 😊

First off, a huge thanks to everyone in this group for all the support and sharing your experience; it really helped me with my Japanese visa application! 🥰🥰🥰

After a week of waiting, I finally got my Japanese visa approved! So, I thought I'd share a bit about my application process.

My Documents:

  • Original passport and a photocopy of pages 1 & 2
  • Two passport photos (4.5cm x 3.5cm), with my name written on the back. One photo was glued to the visa application form, and the other was included separately.
  • Visa application form (downloaded from the embassy's website).
  • Photos to prove our friendship. Since I was traveling with a friend, I didn't need to draw a relationship chart. I just printed photos, pasted them onto A4 paper, numbered each person, and wrote our names.
  • A letter from my employer (in English) stating my employment period, salary, position, and stamped with the company's official chop.
  • EPF statement: A screenshot of my EPF contributions (this wasn't mandatory; I just included it).
  • Bank statement showing my salary deposits for the last 6 months (highlighted salary entries).
  • Bank statement showing my savings balance.
  • Hotel booking confirmation (I booked a hotel with free cancellation).
  • Travel itinerary (filled out using the form from the embassy's website; attached is a sample itinerary).

Important Notes:

  • Don't staple any documents, including bank statements.
  • Print all documents on one side of the page, except for the bank statement, which was printed on both sides (as per the bank's default format).
  • I only numbered the passport; no need to number other documents.
  • Leave the application date blank on the visa application form. The agency will fill it in.

Agency Details:

  • I submitted my application at VFS Global Japan (located in KL).
  • The fee was MYR xxx, paid in cash.
  • I didn't need to make an appointment, and it was quite empty when I went in the early afternoon.
  • VFS informed me that friends can't submit the application on behalf, so both my friend and I had to be there during submission.
  • The staff were friendly, helpful, and checked my documents thoroughly.
